Letter Of Permission To Use Premises

In this article, we cover both sides of the story: writing a letter to authorize someone to use your premises as well as writing a letter to request for permission.

Part One: How to write a letter to give permission to someone to use your premises?

  • Provide the name of the entity or person who will be using your premises.

  • Specify the details of the property: location, number, etc...

  • Provide a list of allowed activities within the premises.

  • Provide a list of disallowed activities.

  • Provide the validity dates of this permission: start and end dates.

  • Make it clear to the permitted side that they should take care of the premises and keep it intact.

Sample Letter

Dear [Recipient Name],

I, [your name], hereby give [Mr. John] the permission to use my premises located on [premises location] to [a list of permitted or authorized actions or the main reason for using the premises]. The premises may not be used to [a list of disallowed activities, optional]. This authorization is valid from [start date] until [ending date].

[Mr. John] is expected to hand over the premises in the same condition that it was received. He shall be responsible for damages that may occur during the usage.

Part Two: How to request for permission to use someone else’s premises.

  • Give details of the premises

  • Specify when you need the premises and for how long

  • Specify the reason

  • Promise that you will take of the premises and that you will hand it over in a good condition

Dear [Mr. John],

I would like to request the permission to use your premises that is located on [location] to [the reason for usage] from [starting date] to [end date].

I pledge to release the premises in the same condition that it was handed over to me.
